Have you set yourself up for efficiency or constant battles? Gaining efficiency is usually done by design, not by default, and managing people and procedures for efficiency is no different. By designing the way you manage and what you manage to mirror a natural flow you can become more efficient.
People inherently do what is easiest and natural for them, including how they perform their duties and how they attempt to fulfill their responsibilities. As a manager you can take advantage of this aspect and make it easier for yourself to manage people and for your team to accomplish their goals.
Start by defining rules that are natural and easy to follow, and therefore easier to enforce and monitor. For example, we have a customer service shift change at 2 PM PST when our East Coast team finishes for the day and hands off control to our West Coast team. Of course our West Coast team is already available and working but there needs to be communication between the two teams during the transition to ensure that issues are being transitioned effectively.
The East Coast team wanted the West Coast team to contact them at 2 PM to initiate the hand-off. That's an unnatural flow because 2 PM is not a natural breakpoint for the West Coast team (who is in the middle of their work-day) like it is for the East Coast team (who is ending their work day). In addition, doing the hand-off this way would cause the manager unnecessary frustration when the West Coast team fails to check in by 2 PM (because they're in the middle of calls and other work). It makes far more sense for the East Coast team to reach out and initiate the hand-off because it is a natural way for them to end their day.
You can greatly reduce friction, resistance to performing tasks and your need to micromanage by identifying processes that contradict the natural way people work and act. Not only will your job be easier but your team will be more effective with less effort.
